Complying with the Adequacy and Relevance Requirements 

  • Data Minimization: Collect and process only the personal information that is necessary and relevant for the specified purpose. Avoid collecting excessive or unnecessary information that is not directly related to the purpose for which it is being processed.
  • Assess Data Adequacy and Relevance: Regularly review the personal information being collected and processed to ensure its adequacy and relevance. Assess whether it is still necessary and meaningful for the specified purpose, and if not, take steps to delete or anonymize the unnecessary data.
  • Consent for Additional Information: If there is a need to collect additional personal information that goes beyond what is initially specified, obtain separate consent from individuals. Clearly inform individuals about the additional information being collected and explain the purpose and use of that information.
  • Maintain Accurate Information: Take reasonable steps to ensure that the personal information collected and processed is accurate, complete, and up to date. This includes implementing procedures for data verification and providing individuals with the opportunity to update or correct their information.
  • Secure Storage and Retention: Safeguard the personal information to ensure its confidentiality and security. Implement appropriate technical and organizational measures to protect against unauthorized access, loss, or destruction. Retain personal information only for as long as necessary for the specified purpose and dispose of it securely once it is no longer needed.
  • Privacy Notices and Disclosures: Provide individuals with clear, easily understandable privacy notices that disclose the types of personal information being collected, the purpose of collection, and how it will be used. Clearly communicate to individuals about the relevance and adequacy of the information being collected and processed.
  • Regular Reviews and Updates: Conduct regular reviews of personal information processing practices to ensure ongoing compliance with the adequacy and relevance requirement. Assess whether the information collected and processed remains necessary and meaningful for the specified purpose and make updates or adjustments as needed.

By following these steps, organizations can demonstrate compliance with the Adequacy and Relevance requirements. It ensures that personal information collected and processed is sufficient, appropriate, and directly aligned with the purpose for which it is being processed.
