Job Summary

Attentive Care Service Agency is seeking a highly organized Office Assistant to join our team. The Office Assistant provides administrative and clerical support to ensure the smooth day-to-day operations of the office. This role assists with scheduling caregivers, maintaining organized records, tracking required documentation, and communicating with clients, caregivers, and office staff. The ideal candidate is organized, detail-oriented, and able to manage multiple responsibilities in a fast-paced environment. Experience in a home care or healthcare office is preferred but not required.

Qualifications

  • High school diploma or equivalent required
  • Associate degree preferred but not required
  • Proficiency with Microsoft Office (Word, Excel, Outlook)
  • Strong organizational and time management skills
  • Excellent interpersonal and communication skills
  • Ability to prioritize tasks and manage multiple responsibilities
  • Strong customer service skills
  • Ability to maintain confidentiality and handle sensitive information

Preferred Qualifications

  • Experience working in a home care, healthcare, or medical office setting
  • Familiarity with caregiver scheduling systems or Electronic Visit Verification (EVV)
  • Knowledge of HIPAA regulations and handling confidential information

Responsibilities

  • Provide general administrative support to office staff and management
  • Answer incoming phone calls and respond to emails in a professional manner
  • Greet and assist visitors entering the office
  • Maintain organized electronic and paper filing systems
  • Communicate schedule changes with caregivers and office staff
  • Track employee compliance documentation such as TB tests, physicals, certifications, and background checks
  • Ensure required documentation is submitted and properly filed
  • Maintain office supplies and notify management when inventory is low
  • Support management with additional administrative tasks as needed
